Dashboards and exports
Turn collected responses into indicators your team can act on, or export the raw data.
Build a dashboard
Dashboards are built in the Dashboard Studio from a dataset — a form's submissions, or an imported table. The builder works in three steps: choose the dataset, optionally narrow it with filters, then compose the dashboard on the canvas — title, charts, KPI cards and a global filter bar.
- Charts — bar and column families, line and area, pie and donut, scatter and bubble, statistical views (box plot, radar, heatmap), treemap, funnel, gauge, Sankey, and map visualisations.
- KPIs — count, sum, mean, median, min, max, mode, or a percentage over a filtered subset.
- Aggregations — count, sum, mean, median, min, max or percentage, computed per axis and per series.
- Global filters — single or multiple choice, free-text search, date ranges and numeric ranges; changing a filter recomputes the widgets from the dataset rows.
Saving stores the dashboard in the workspace — optionally attached to a project — and it appears in the Dashboards list.
Private and public dashboards
A dashboard is private by default: only members of its workspace and project can open it. From the list you can switch it to public — anyone with the link then views the same indicators, without signing in. The dashboard's page is the sharing link: members open it with their account, and for a public dashboard any visitor can open it.
Public is a sharing decision, not a copy: the dashboard stays in your workspace and can be switched back to private at any time.
A public dashboard exposes the indicators it displays to whoever holds the link — review what it shows before making it public.
Export the data
Two data exports cover two different jobs:
| Where | What you get |
|---|---|
| Submissions — Export CSV | A CSV file, one row per submission: record ids, status, source, timestamps, the quality score and the stored answers payload. The export covers the submissions you are allowed to see — your regional scope is applied server-side — and follows the status filter of the screen. |
| Data Hub — Export dataset | The dataset rows — one column per question — as CSV, JSON or XLSX. You choose the columns to include and the file options (delimiter, empty-value text, sheet name) before generating the file. |
Both exports respect your permissions: only entries you are allowed to see can leave the platform.
Export a form
A form itself can be exported in three shapes:
- Export PDF — a printable layout of the questionnaire (questions, choice lists, answer lines) opened in a new tab, ready to print or save as a PDF from the browser.
- Export XML — the compiled XForm file of the latest version: the same document KoboCollect downloads for the form.
- Complete export (.json) — the XForm plus the settings the XML cannot carry (title, description, anonymous collection, source project), in a single file that re-imports as-is.
These are the form itself, not the collected data — export the data from the Submissions screen or the Data Hub.
