Before publication

Items shown like [[this]] must be confirmed by Zottle's legal entity before this document is published.

1. Scope

This Privacy Policy explains how Zottle handles personal data when you visit our website, create an account, and use the platform. It covers two situations: data we process as a controller (our own relationship with you) and data we process on your behalf as a processor (the responses you collect).

2. Our two roles

Your account, billing, support and website visitsZottle—
The forms you publish and the answers you collectYou (the Customer)Zottle

When we act as a processor, we process personal data only on your documented instructions and for the purpose of providing the Service. You remain responsible towards respondents.

3. Data we process as a controller

  • Account data — name, email address, organisation, role, password hash, language and theme preferences.
  • Billing data — plan, invoices, payment status. Card details are handled by our payment provider; we do not store full card numbers.
  • Usage and technical data — log records, IP address, device and browser type, actions performed, used to secure the Service and diagnose problems.
  • Support data — the content of your requests and our replies.

4. Data we process on your behalf

When you publish a form, we store the questions, the responses submitted, attached files and media, GPS coordinates when your form asks for them, and the metadata needed for validation (who submitted, when, from which device or team).

We do not use Customer Data to train artificial intelligence models, and we do not sell it. Data submitted through a public collection link is accessible to the workspace that owns the form, according to the roles you assign.

6. Sub-processors

We use a limited set of providers to run the Service. The current list is maintained below; we inform customers before adding a new sub-processor that processes Customer Data.

7. International transfers

Our infrastructure is hosted in [[hosting region]]. Where personal data is transferred outside its country of origin, we rely on appropriate safeguards such as standard contractual clauses, and we assess the laws of the destination country.

8. Retention

  • Account data — kept while the workspace is active, then deleted or anonymised after closure.
  • Customer Data — kept according to your settings; on termination you have 30 days to export it.
  • Deleted submissions — recoverable for 30 days, then permanently removed.
  • Invoices and logs — kept for the period required by law, generally 10 years for accounting records.

9. Security

We apply access control, encryption in transit, hashed passwords, role-based permissions enforced server-side, audit trails on validation decisions, and regular backups. No system is perfectly secure: we notify affected customers without undue delay if a breach affecting their data occurs.

10. Your rights

Depending on the law that applies to you, you may request access, correction, deletion, restriction, portability, or object to certain processing. Write to [[privacy@zottle.app]]. If your request concerns data collected through a form, we will forward it to the Customer that owns that form, as we act as their processor.

11. Cookies

We use strictly necessary cookies and local storage for authentication, session security (CSRF protection) and your preferences (theme, language). We do not use advertising cookies. Analytics, where enabled, are configured to minimise personal data.

12. Children and minors

The Service is not directed at children. If your survey targets minors, you must obtain the authorisations required by local law and configure the form accordingly. We do not knowingly create accounts for children.

13. Changes to this policy

We will post any update on this page with a new effective date, and notify material changes by email or in the workspace.

14. Contact

Data protection contact: [[privacy@zottle.app]]. Postal address: [[registered address]], [[country]]. If you are in the European Union and we are your processor, the Customer remains your primary contact.
